Data Retention

How long campaign runs, checks and searches are kept, what happens when your plan changes, and how the nightly clean-up works.

Every organization keeps its tool output for a retention window measured in months. Runs, checks, results, AI answers, search history, alerts and Data Chat conversations older than the window are deleted by a nightly clean-up. Campaigns, schedules, settings and billing history are configuration, not output, and are never deleted by retention.

The window comes with your plan and can be extended for your organization on request, up to the platform ceiling. Ask support if your contract needs a longer window.

An organization whose plan sets no window keeps 24 months.

The window is counted from today, so a campaign that runs daily always shows the last 12, 24, 36 or 60 months of history in the app, with no cut-off inside that range.

Nothing is deleted the moment it passes the window. The clean-up only removes data that is older than the window plus 60 days. That grace means a failed card payment, a lapsed subscription or a plan change made by mistake never costs data: restore the plan inside the grace and everything is still there.

If your organization moves to a plan with a shorter window, or the entitlement lapses, the old window stays honoured for 60 days from the change. Organization owners (or admins, if the organization has no owner) are told twice:

  1. Immediately, that the window changed, with the date from which older data becomes eligible for deletion.
  2. One week before that date, as a final reminder.

Upgrading or restoring the plan before the date keeps everything. After it, data outside the new window is deleted on the next nightly clean-up and cannot be recovered.

Tool output used to be kept for 24 months. If your window is shorter, the first time the clean-up would delete anything from your organization it treats that as a shrink from 24 months: the 24 months stay honoured for another 60 days, and owners are told the same two times as above. This happens once per organization, whenever its data first ages that far.

After that, data ageing out past the window you already have is silent. That is the window working as intended.

  • Position tracker, ad tracker, Maps, AI visibility and Marketplace Visibility runs, with their checks, results, mentions and raw results
  • Search Engine Proxy and Direct Search history
  • Campaign alerts
  • Data Chat conversations that have been idle for the whole window, and individual messages older than the window inside a conversation that is still in use
  • Audit Log entries, never sooner than 12 months whatever the window
  • Campaigns and their schedules
  • Saved searches
  • Organization settings, members and roles
  • Billing history, invoices and token transactions
  • The places a Maps campaign has discovered

Open Billing in the app to see your plan. Retention notices appear in Notifications and by email to organization owners, or to admins when the organization has no owner.
